Audiovisual Equipment Use and Loan Policies

1. All loans are subject to the availability of the equipment.

2. Under no circumstance is any unauthorized person to modify or repair equipment on loan from AV Services.  Authorized personnel are AV Services staff, Electronic Services technicians, and IT Helpdesk Technicians. Notify the IT Service Center immediately if there is a need for modification or repair to the unit(s).

3. Users assume full responsibility for:

  • The care, use and security of the audiovisual equipment for the duration of the check-out,
  • Any damage of equipment through misuse (as opposed to normal wear and tear),
  • The replacement of any equipment that is stolen or lost while in the user's custody.

4. Short-term loans (three business days or less) may be handled by any staff or faculty member. If equipment will be needed for a longer period of time, the reservation must be made with the department manager's approval.

5. Long-term Loans

  • The department manager must sign a long-term loan agreement.
  • The department manager is responsible for the care and supervision of audiovisual equipment loaned to the department on a long-term basis.

6. Financial Responsibility

  • Financial liability for loss or damage of audiovisual equipment is the responsibility of the user for short term loans.  Financial liability for long term loans is the responsibility of the department.
  • When damage or loss of equipment has occurred and an agreement for assessment of financial responsibility cannot be reached between Audiovisual Services and the user or department admin, disposition of the financial responsibility will be determined by the appropriate department and IT managers, and/or the appropriate vice president.
