Additional individuals who will work directly with identified units representing infrastructure, financial transactions, and enrollment and retention will be determined by the project management in consultation with the Students First! Redesign and Implementation Planning Teams.
Coaches, Sponsors, and Advisors
During both the redesign and implementation planning stages, various individuals were consulted for their expertise and solicited for advice, feedback and support. The implementation stage will require the involvement and active participation of all services to students employees, coaches from the Redesign and Implementation Planning Teams, advisors, and sponsors. Implementation coordinators will be working with those individuals as well as senior executives to ensure that tasks related to redesign are completed on schedule, resistance to change is addressed, and resources are allocated in a fair and sufficient manner.
The roles of coaches, sponsors, and advisors were mentioned in the Redesign Team's final report and are restated below.
Coaches
Individuals from the Students First! Redesign Team and Implementation Planning Team available to provide perspective, insight and time during implementation; and who will serve as an advocate for the recommendation, helping the college understand its implications, why it is needed, and how it will improve services to students.
Sponsors
Individuals from the Executive Leadership Team responsible for ensuring implementation of the recommendation by removing barriers and securing resources; and who will serve as an advocate for the recommendation, helping the college understand its implications, why it is needed, and how it will improve services to students.
Advisors
Individuals who play key roles in student services, instruction, personnel, college finance, communications, and other areas who provide their perspective on the implications and feasibility of the recommendations; and who will serve as an advocate for the recommendation, helping the college understand its implications, why it is needed, and how it will improve services to students.
Services to Students Team
Currently, Lane has a student services division that includes several services to students units. The Students First! process redesign initiative represents a reconfiguration of all services to students. All individuals within the services to students units identified in the Students First! recommendations will be involved with implementation. The Services to Students Team, composed of process owner managers, team leader managers, and teams is the basis of the new services to students delivery system. Before identifying individuals for each role, Lane must carefully develop job descriptions, address wage and collective bargaining issues, and create fair and equitable selection criteria.
Process Owner Managers and Team Leader Managers
Process owner managers and team leader managers are key players in spearheading the successful implementation of both the recommendations and a team-based organization. The skills, characteristics, and responsibilities of process owner managers and team leader managers are outlined in Appendix D.
Great care is applicable to the selection of process owner managers and team leader managers. These individuals will be responsible for planning the work of and leading the teams that will be delivering services to students. Considerable time will be required to carefully establish the job descriptions/classifications, work with employee groups, and create the team selection criteria and process. In the interim, the implementation team will serve as facilitators in the establishment of teams as deemed appropriate. As implementation progresses and teams are established, implementation coordinators will be working with those teams to monitor their progress.
Teams
Individual team member responsibilities will be determined by the applicable process owner manager, team leader manager, and team members in collaboration with the appropriate implementation coordinator. In some cases, teams will be created before process owner managers and team leader managers are selected.
Teams will specify performance goals that are directly related to their charge. Refer to Appendix E for the elements of the evaluation process and criteria outlined in the Redesign Team's final report.
