Create organizational structure for effective delivery of enrollment and advising services.

Key Issues:

  • Lack of formal connection with advising and enrollment processes
  • Student self-selects use of support/diversity service; uncertainty re: other service providers advising students of availability versus referral to support/diversity service
  • Commonality is purpose/intent to meet individual student needs; difference is the distinction between who the students are
  • Type of service delivered varies and depends on: student interests, resources, staffing, funding source
  • Some services have multiple roles and/or focus: service to students, instructional, mandated services, student clubs, legal compliance
  • Competing for limited College resources
  • Funding sources vary - College, students, grants
  • Physically dispersed
  • Determination of physical location of services as result of bond construction

    CURRENT SITUATION:

    PEOPLE/
    ORGANIZATION
    CROSS-FUNCTIONAL
    WORKFLOW
    TECHNOLOGY PHYSICAL
    INFRASTRUCTURE
    POLICIES/
    PROCEDURES
  • service directors have different roles and belong to different employee groups
  • weak links between support/diversity services and other services to students
  • variable or inconsistent links between support/diversity services and other services to students
  • limited or no access to student records
  • access limited to 'look only'
  • possibly substandard equipment and/or shadow databases
  • limited training on how to use services to students systems
  • services are physically dispersed
  •

    PROPOSED SOLUTION:

    PEOPLE/
    ORGANIZATION
    CROSS-FUNCTIONAL
    WORKFLOW
    TECHNOLOGY PHYSICAL
    INFRASTRUCTURE
    POLICIES/
    PROCEDURES
  • evaluate staffing levels for each service & identify advising and enrollment service needs
  • create support and diversity services organizational structure for effective delivery of enrollment and advising services
  • support and diversity services are designated as associates to SF! Ctr.
  • advising team dedicated to support and diversity services team
  • access to student records - enrollment, advising
  • transaction capability at some services
  • if necessary, upgrade equipment and software to Lane standards to provide enrollment and advising services
  • provide training on use of service to student systems
  • co-locate support and diversity services so in close proximity to each either
  • recommend location is central, highly visible, and easily accessible
