Students First! Process Redesign Qick Wins

A Quick Win is a recommendation that meets one or more of the following criteria:

  • has a person with the authority and desire to do it (willing to take the risk)
  • eliminates non-value-added tasks
  • has few steps involved
  • has minimal budget impact to implement
  • is an interim step to an ultimate outcome
  • will be 'visible' soon
  • has minimal complications

Provide appropriate department support employees and services to students employees with the ability to access both credit and non-credit information:

Currently employees on both the main campus and at outreach centers have limited access to student records. Many employees who serve students on the main campus are unable to access information for students taking non-credit classes and some departments at outreach centers are unable to access credit information on students. Employees will have more information to better serve students if they can access schedule information.

Remove the Admissions phone number from the billing statement:

Currently Admissions employees receive numerous phone calls from students who think they are reaching the billing department to answer their queries. This results in Admission's staff having to transfer the students to the billing department, and often times creates much frustration for the student. They are already upset about their statement, and to be transferred can be very aggravating, especially when a live person cannot be reached.

Provide faculty with the ability to enter student grades directly into the appropriate mainframe program from their PCs:

Currently faculty hand-write student grades on two-part class grade sheets which are taken to Student Records for data entry. Direct entry of grades by faculty would save staff many hours of input, alleviate errors, and save printing costs.

Inform Lane employees of the correct procedure on ClassLine to find open course sections: The procedure is:

  • 7*
  • the registration number of the course the student wants to take
  • #

This will list the three open sections of the course that are closest to full. Currently students are dropping classes in order to find other open sections of that class.

Update campus billboards, maps, put signs on and in front of buildings, and provide building floor plans:

Much student time is spent wandering around campus and asking for directions. Significant college resources are spent directing students and answering location-related questions. Current maps at college entrances list programs which do not exist and do not list programs created since the signs were made in the 1970s.

Lane commissioned a study on signage in 1994 which documented these concerns. Student and employee input repeatedly mentioned lack of signage and maps throughout the campus. To remedy this, the redesign team recommends that the implementation team find a low-budget way to immediately address these proposals:

  • External Campus Signage: Provide an accurate map of campus at every entrance (main, northeast lot entrance, apprenticeship, south lot, etc.)
  • Building Signage: Put a large, visible sign with the name of building on every building. (Some buildings will require more than one.) Locate a sign at the main entrance(s) of each building with the name of building and the name of the departments and services located in that building.
  • Building Floor Plans: Inside each building main entrance place a display case with photocopied floor plans of the building indicating locations of departments and services with their phone numbers.

Include the draw-down of Federal financial aid funds as a step in the weekly disbursement of student financial aid. Lane currently advances its operating capital to cover the cost of the weekly student financial aid disbursement. The delay between the disbursement date and the draw-down date causes Lane to needlessly lose interest earnings.

Edit Lane's television commercial ad:

Currently the ad states, "Classes begin [date]," which causes some prospective students to conclude they can come on the first day of classes and successfully enroll for the class(es) of their choice. Suggested changes to the statement include:

    "Classes begin [date]. Register early." "Registration begins [date]." "See class schedule today."

Stop running the ad on the eve of the first day of class each term.

Provide WWW access to new student orientation information:

Create a Web version of new student information session linked from the Counseling Department Web page and the Admissions Department Web page, with the Counseling Department assuming responsibility for continuous update.
