LIMT Meeting Minutes

Monday, December 16, 2002

Lane Database Upgrade
Computer Services upgraded the Lane database on Saturday.  SCT is working toward compliance with ADA requirements.  A significant change in the upgrade is the capability to initiate purchase orders in ExpressLane.  PPRD was cloned to TEST for the final test payroll.

ExpressLane Access
A campus-wide announcement was made that ExpressLane can be accessed from anywhere in the world.

LASR Update Topics
LASR Update topics on Friday will include discussions about future budget training, a student training plan, Series 25, HR go live and training plan and a report from Banner and Beyond.

“L” number Look-up Process
A decision was made to use an “L” number look-up process using last name and SSN rather than establishing current ID as an alternate ID.   Students will have the option to contact Student Services if they do not want to use their SSN.  Browsers must be current to access the screen.  Information and links to free browser updates are available in Frequently Asked Questions.  Financial Aid applicants, international students and new students will be notified of their “L” numbers.  Other students will need to follow instructions for looking up their “L” numbers on the ExpressLane screen.  A sunset date for using the look-up screen will be established.  LIMT will revisit this issue in January, 2004.

Remote Database Administration
LCC purchased remote database administration (RDBA) services from SCT for three years.  Some communication problems have occurred between the college and the RDBA, and Lane and SCT recently clarified that the first point of contact is LCC’s database administrator, Jan Kleminsky.  Responses to questions sent to Action Web can only be tracked if the person is associated with LCC.  Each module should ask programmers to contact Jan with any issues and Jan will communicate with the SCT administrator.

Human Resources Update
HR is basically live in PPRD.  From this point until “go live” on January 1, 2003, HR will enter data in both COCO and Banner.  The third and final payroll test is running today and PPRD has been cloned to TEST.  The last COCO Payroll checks will print next Monday.  Few people have taken advantage of the options available from HR to help bridge the transition to a semi-monthly payroll.  Research is being done to determine why the feed to Finance is not working.   (NOTE: This problem was resolved by the end of the day on Monday.)  HR will provide LCC switchboard operators, the help desk, and CIT with a list of who to contact if staff encounter difficulties.  Administrative assistants are authorized to provide “L” numbers to employees after obtaining a signed Confidentiality Statement from the employee.

Financial Aid Update
The team is preparing for training tomorrow on how to set up the 03-04 year.  Base terms will need to be established in TEST and PPRD.  Financial Aid and Students teams will meet to discuss the cloning schedule.  Programmers are moving toward the elimination of databases.

Student Team Update
The team is pleased with the resolution of the alternate ID issue.  College catalog deadlines for 03-04 were sent to departments.  Darlene Baker will work with Angela Miller to assure ExpressLane language is unified throughout the catalog.  The core team has scheduled 20 minutes on every Peer to Peer meeting throughout Student implementation. 

Joint Meeting Regarding Faculty Assignments Component
Linda DeWitt and Helen Garrett are planning a joint meeting of the Human Resources and Student teams and other LCC representatives on January 14, 2003.  The purpose is to understand the faculty assignments component of the Student and HR Modules and to determine which functions, if any, the college will implement and develop an implementation strategy.  Representatives from the following areas have been invited:
  • Human Resources Implementation Team
  • Student Core Team
  • Faculty from Faculty Level Change Committee
  • Manager from Faculty Level Change Committee
  • Institutional Research, Assessment and Planning
  • Faculty from Long-term Leave Committee
  • Manager from Long-term Leave Committee
  • Faculty from Faculty Workload Committee
  • Manager from Faculty Workload Committee
  • Faculty Council
  • Office of Instruction
  • Instructional Management

Linda DeWitt sent a copy of the meeting announcement to Bob Barber and Helen Garrett for feedback.  LIMT recommended that Linda move forward with the meeting plans.

Series 25 Update

BWEL Update
BWEL Managers would like clarification about the types of student data that will be moved over and what happens to the data that is moved.  The Student Team is developing policies and procedures to move data and will present the document to Jane Scheidecker for feedback.  The document will then be taken to ELAG.

Instructional Managers
Chuck Appleby brought LIMT several questions from the Professional Technical Chair’s meeting regarding the Web Time Entry process.  LIMT provided Chuck with responses to share with managers at the next PT chairs meeting.
