LIMT Meeting Minutes

Updates/Announcements
The Project Office will be closed beginning December 23 through January 1. LIMT will not meet on December 23 and 30. The next meeting is January 6.
SCT’s technical trainer was on campus last week working with Computer Services staff to configure two new servers. These will go on-line this weekend.
Upgrade LANE to New Banner Version
Computer Services will install the September Banner release into the Lane database this weekend. There are two major Banner releases each year, and all modules have the responsibility to test the new releases and approve installation into production.
Human Resource Update
HR is updating data based on feedback from departments. This process will be completed this week and the database will be cloned over the weekend. Another payroll test will be conducted December 16 and 17. Open labs will be available for staff who need assistance. All staff are responsible for using Web Time Entry to enter their time through ExpressLane if they are physically able. If staff are unable to enter their time or departments decide to enter time for staff, Department Time Entry is an option and must be discussed with HR.
Financial Aid Update
Financial Aid will notify students of L numbers and pins in the information request letters, which are sent to every financial aid applicant. ExpressLane training for students will likely consist of print materials, web instruction and assistance in student labs. FA can also include this information in the letter.
Student Update
Sylvia Sandoz created a list of tasks to be completed between January and June, 2003; the team plans to utilize the additional consulting hours over the next 6 months, a joint meeting is scheduled between HR and Student and team trainers on January 14 to review Banner functionality regarding faculty assignments. The Bookstore has contracted with Missouri Bookstore to write a Banner interface for both accounts payable and student receivables. Student, finance and student programmers and Linda DeWitt met with the LCC Bookstore to discuss the issues. Summer and Fall admission forms will be input in January and new processes will be rolled out to everyone in March. Bob Barber is coordinating the staff and student training plan for June.
Finance Update
The new Banner release has expanded functionality for initiating purchase orders in ExpressLane. However, this tool can’t be used to do change orders or cancel POs. The Budget Office predicts the budget will be available on Wednesday. The team is discussing the pros and cons of turning on NSF checking. This decision is complicated by the changes in the way the college has implemented ICP in Banner and the prohibition against transferring money back and forth between the general fund and the ICP fund.
Series 25 Update
SPIT continues to meet each Tuesday and Thursday for 4 hours regarding Series 25 implementation issues. Craig Taylor will meet with Jane Scheidecker about the number of scheduling seats that will be needed for Outreach areas. Funds may be needed for staff training in Phase 2.
Getting Information Out
Chuck Appleby is e-mailing Linda DeWitt with information from the manager’s Tuesday meetings. In a recent discussion, Chuck and Jane identified the following as regular communication connections for various LIMT members:

In addition, all LIMT members might communicate to the councils, Peer to Peer and by using the specific employee lists. It is important that all LIMT members emphasize that managers have a responsibility to make sure people they supervise are receiving the information. Linda DeWitt will contact the groups that all LIMT members might have a need to connect with to let them know that the project is available to them to answer questions and provide information about the project.
ExpressLane Buttons
Linda DeWitt and Helen Garrett will prepare a proposal for ExpressLane buttons to be used by Student Services people beginning in February. The buttons will include the ExpressLane url.
“L” Numbers
Setting up former IDs as an alternate ID for a period of time or writing a program for ExpressLane to enter a ssn to look up an L number to help bridge people between the old and new ID numbers was discussed at the last meeting. Whether the request was approved by LIMT was unclear. Linda DeWitt will review the December 2 notes and report back at the next LIMT meeting.

The request to post a full-time technology trainer position has been signed.
