LIMT Meeting Minutes

Monday, November 25, 2002

Summit, 2003
Registration is open for Summit, 2003.  Stephen Pruch, Helen Garrett, Darlene Baker, and Linda DeWitt will represent LCC at the conference.  A recommendation was made that Stan Barker, Chris McDowell, the new Financial Aid Director, and an HR representative also attend.

Integrated Information System Principles
Stephen distributed a revised draft of the Integrated Information System Principles and asked for feedback.  He will also ask ET for feedback on the document.

Series 25 Update
The Series 25 Advisory Group (SAG) is working to identify all spaces on campus.  Computer labs will not be included in the mix.   The team that attended training in Portland earlier in the month feels ready to provide scheduler training for additional Lane employees.

Student Update
The  Student Core Team requested approval to use current student IDs as  alternate IDs  next Summer, Fall and Winter terms to smooth the transition to Banner and to give students a chance to learn their “L” numbers.  An alternative solution would be to allow students to use their SSN to “search” the system for their “L” number.   LIMT will discuss this issue again at the Dec. 9 meeting and reach a decision.  Learning Communities have been resolved to the satisfaction of Cheryl Roberts.  The team is 90% finished with the admissions component, an agreement was reached with programmers regarding their attendance at training sessions and a log will be developed to ensure tasks are not overlooked.   The team is in training next week.

Human Resources Update
Approximately 1,200 end users have received ExpressLane for Employees and Web Approval training.  HR will provide special training sessions to the Music/Theater/Dance and Flight Technology Departments.  The first live payroll test went well.  The next data input is December 2 and 3 with four ExpresssLane trainings available and an all-day Web Approval open lab for managers on December 4.  A third payroll test will be conducted before “go live.” This test may or may not include having employees enter test information.  Open labs will be available on January 14, 15, 16, 2003 for employees as a resource to assist with the process for the first “live” payroll.  The LANE database will be populated with actual employee information early in December.  After this occurs, HR will  need to update data in both COCO and Banner.  The recruitment office is entering general person information into the system for applicant tracking.  A concern came up about whether data entry training will be necessary for the office.   Helen Garrett will follow through with the issue.

Financial Aid Update
A successful joint meeting was held between the Student and Financial Aid Core Teams and the Financial Aid team is building data to be processed in March, 2003.  A major implementation goal for the Financial Aid team is to be able to electronically “scan” for conditions that require follow-up and replace the manual review of applications as much as possible.   Three interviews for the Financial Aid Director will be held in December.
