LIMT Meeting Minutes

Monday  October 6, 2003

Updates

  • Consulting Hours
    • The Student Module required additional consulting for transcript issues and Clearinghouse reporting.  Two consultants (technical and functional) worked remotely last week with Lane programming and functional staff on these topics. The Student Team has requested another week of consulting to resolve remaining issues.  Student will also have SCT consultant John Ellis on site for the next 4 weeks working on implementing CAPP, the Banner degree evaluation functionality.  Workflow hours were used to support this need.
    • HR and the Budget Office can share a week of consultant time in November.  HR will need another week for year-end work in January.  Their first preference is for the week of January 19, beginning on the 20th.  (January 19 is a college holiday.) The second preference is for the week of January 12.  At the half-year point, HR records balanced to within one cent.   
CS Issues
  • Functional User contacts in CS
    • Computer Services requested that functional offices contact their primary programmers to work on specific problems rather than directly contacting the DBA or system programmer.  The DBA and system programmer need to re-direct requests that come to them from other users back to the functional office that is responsible for the module.  Data Custodians should continue to work directly with the DBA on access requests.
  • Who owns e-mail addresses?
    • The web programmer requested LIMT’s assistance with updating e-mail addresses in Banner.  This is needed to support functionality in R25 for making space requests and for information about faculty that displays in the R25 web viewer interface.  The current process is that the web programmer is notified when new e-mail accounts are created, and then enters this information into Banner.  LIMT agreed that this process should be replaced, and discussed considering e-mail address maintenance a self-service function and incorporating this into the ExpressLane time entry training.  Data Standards will add this topic to their meeting agenda.
  • UPS upgrade on Oct 10
    • A new UPS (Uninterrupted Power Source) will be installed in Computer Services on October 10.  All servers, the HP9000, Lane’s homepage and ExpressLane will be down, beginning at 5:00 p.m.  for approximately 1 hour.   
Issues
  • ExpressLane PINS to Instructional Computing - Report
    • The new process to download “L” numbers and PINS for enrolled students to the instructional computer lab system is operational.  The process runs automatically each hour with a high level of security.  The file with the PINS is deleted at the end of each process.  One challenge that has emerged is when students believe they have set up a PIN that is longer than six characters.  Banner ignores any extra characters and only the first six are stored and downloaded, but the instructional lab system considers all characters entered by the student as valid and determines that there is a “non-match” with the PIN that was downloaded from Banner.  This issue needs to be clarified for students in training and informational materials in both ExpressLane and the instructional labs.
  • Training Request Process
    • Linda Osak will be the contact point for staff for Banner training requests, regardless of who delivers the training.  She will help staff requesting training to understand the process of securing access to the system and will assist functional trainers with determining the need for additional training and with setting up classes.
  • LIMT Name and Function
    • LIMT briefly discussed its changing role in regard to Banner, and that the group is in transition from managing an implementation to coordinating on-going operational activities.  Linda will review the LIMT Charter for possible revision, and Stephen and Linda will begin to work on a list of new responsibilities for an on-going coordinating group.  Despite these changes, it is important to continue to communicate that considerable energy is still being directed toward implementation activities as each team moves through all business processes for the first time and implements additional Banner functionality that was not a part of the initial critical path.  A part of the review of LIMT’s new name and function should be to look at the membership and determine whether changes are required.  The larger college discussion of governance may impact this review.
Module Updates as Needed
  • Financial Aid raised the question of how to decide which record is kept and which information is re-loaded when there are duplicate “L” numbers in the system.  Linda will schedule the following team to work on this issue:

Other
Instructional departments are interested in when they can begin building spring term classes.  Craig will convene the group that worked on this for earlier terms.  Syliva can help identify the participants.
