LIMT Meeting Minutes

Monday, September 9, 2002

Parking for outreach staff
Four reserved parking spaces have been designated in the second row of lot A (the old Child care area).  The spaces will provide parking for people who travel from off campus to attend LASR Project related meetings.  Jane Scheidecker will develop a process for getting permits to staff who need to attend LASR meetings on campus.

Spreadsheet Budgeting
Cyd Hawkins will install spreadsheet budgeting when she visits campus this week.

LASR Update schedule
Beginning in October, LASR Updates are scheduled on the third Friday of each month at 3:00 p.m., in the Boardroom.

Steering Committee Meetings
The August Steering Committee was canceled because a majority of committee members were unavailable to attend.  Advanced vs annual registration and a process change for contacting financial aid people who do not apply for admission to LCC were important agenda items that LIMT needed to discuss with the Steering Committee.  Linda DeWitt sent  a written description of the changes to the Steering Committee and indicated that LIMT would move forward unless the Steering Committee had serious concerns.  Cheryl Roberts responded via email that LIMT should continue moving forward.  LIMT discussed the importance of having the opportunity to discuss issues with the Steering Committee.  A decision was made to continue the monthly Steering Committee meetings regardless of attendance and to supplement the meetings with written communications about issues that require feedback from the entire Steering Committee.

SCT Account Mgr. visit
SCT account manager, Larry Criddle, will be on campus Wednesday morning, September 11.   Stephen Pruch and Linda DeWitt will meet with Larry to discuss the additional trainer visits that were scheduled to provide more help at the operational level for the Human Resources core team and technical issues regarding servers.  Stephen will ask SCT to configure the servers.  Any questions LIMT may have for Larry can be sent to Stephen.

Internet Native vs Client/Server
Computer Services will discontinue support for the client/server Banner interface on October 1.  Stephen Pruch will communicate this decision to Stan Barker, since only members of the Finance Team still use this interface.

Data access policy and procedures
Data Standards distributed an Information Confidentiality Statement form and a Data Access Request form.  The confidentiality statement will become part of the new Human Resources employee orientation process.  The Data Access Request form will be used by departments to request employee access to data.   The request will require department chair and data custodian approval.  Each functional area will develop its own form.  Completed forms will be maintained by the Data Custodian.  The Data Standards group is in the process of refining the form.  Stan Barker will document people who were granted access during the Finance implementation and training.

Backfill Fund request 
A request from Jane Scheidecker for backfill monies was distributed.  The $2,500 request would allocate monies for extra hours for Laura Loftus to provide specific database expertise to the Report Strategy Group through June 30, 2003.  Laura is currently a .5 employee at the Business Development Center.  The request was approved by LIMT.

Student Update
PPRD will be cloned in 30 days.  The team questioned whether a person who has access to ExpressLane also has access to TEST.  Human Resources, Student, and Finance core teams and programmers are they only people with access to TEST.  The team requested that LIMT search and check security; whether to display the Terms of Usage Agreement page in ExpressLane after a user’s first login was referred to the Banner Web team; the team asked that a LASR training committee, with representation from the Student module, be established.  Chuck Appleby agreed to participate on the committee.  The team discovered a survey tool on ExpressLane.  The team has been looking at Touchnet, a product that works with Banner to allow for credit card payments.  They would like to see a demonstration of the product and identify an implementation team.  A component of the Student System is called Faculty Workload. This language creates confusion, resulting from the same language being used in faculty contracts with the college.  LIMT will work to resolve the confusion. 

Financial Aid Update

Other
Telephone contacts to SCT consultants are billable to LCC after 15 minutes.  Team leaders and programmers should be the primary people who make contact with consultants.

A question arose about future project support after James Brunner’s assignment ends.  Support will be available through action mail, list serves and post-training consultant visits that are scheduled later in the project.  Contacts by core team members with other colleges should go through the team leaders of each module.

The new technical training position in Computer Services will provide on-going coordination for  Banner training.
