LIMT Meeting Minutes

Monday, June 30, 2003

LASR Office Relocation
The LASR Project Office will close effective July 11.  Linda will move to Computer Services (Steve’s old office) between July 14 and 16.  Georgia leaves the project effective today.  Eric Mustoe will assume the responsibility for scheduling and coordinating training.  SCI 144 is available to the project through August 15.  Mechanical Technologies Room 119A will continue to be available through fall term during the day and on Monday evenings.
Stephen continues to work on creating a small staff training space in Computer Services.  Banner training needs that exceed this space can be accommodated by scheduling an instructional computer lab.
LIMT thanked Georgia Nissen for her work on behalf of the project. 

Oracle 9i and Banner 6.x Schedule
The following schedule applies to the Oracle 9i install:

  • Weekend of July 5-6: Begin installing in SEED and continue to install in all non-production instances, completing by July 18;
  • Week of July 14: All modules test Oracle 9i in TEST instance by running typical processes;
  • Weekend of July 19 – 20: Oracle 9i installed in production database.
The following schedule applies to the Banner 6.x install:
  • Week of July 14: Begin working on non-production instances;
  • Week of July 21: Jan will have control of all non-production instances. No functional user access this week to non-production;
  • Week of July 28: Functional testing of Banner 6.x begins;
  • August 29: Functional testing complete;
  • Weekend of August 30-31: Banner 6.x installed in production database.
ExpressLane and native Banner will be unavailable for a four hour time block on each of the following weekends:
  • July 5-6
  • July 19-20
  • August 30-31
Jan is working on a specific “system down” message for Lane when ExpressLane is not available to replace the usual “page not available” display.
Lane currently maintains six database instances:
  • SEED,
  • TRNG,
  • TEST,
  • PPRD,
  • LANE, and
  • EVAL
LIMT and Computer Services will evaluate the number of instances needed to support the college now that all systems are “live”. Teams should discuss this prior to next week’s LIMT meeting.

Fall training needs and transitioning trainer
Because Eric was not available, this discussion was largely deferred to the next meeting.  However LIMT identified the following as items the college’s Technical Trainer might assume responsibility for the following in regard to Banner training:

  • Coordinating training,
  • Scheduling training,
  • Maintaining up-to-date training materials,
  • Developing technology to teach technology (such as CD for new employees)
  • Delivering some training
The Technical Trainer position was envisioned as the “backbone” for technical training at the college.

Module input for Phase II Plan
Each module should begin developing a plan for work to be completed in the next 18 months.  The modules are responsible for identifying items that they need to work on in the following areas:

  • Business cycle 
  • Additional Banner functionality not implemented in the first pass
  • Interfaces and systems
  • Training
LIMT will do the planning for enterprise-wide products, such as
  • Datamart
  • Campus Pipeline (Luminus)
  • Connection between Banner and course management software (such as WebCT)
  • Workflow
  • Extender Solutions (document imaging)
Communicating with Managers
LIMT heard feedback from instructional chairs about the type of communication they need from the project during Phase II.  LIMT determined that this would consist of high-level information about the Phase II workplan, and noted that this information needs to be available to the entire campus.

CoCo database
HR needs access to prior employee information to fill two needs:

  • Supporting information regarding PERS for individual employees
  • Data back one year for monitoring timesheet employees and the 1,039 hour rules.
Initially, HR identified continued access to COCO beyond the October 1 date as a requirement to support these data needs.  However, the HR team is working with their programmer to identify alternatives.
Student has a similar need to support staff who work with students who have outstanding balances from COCO, and have discussed alternative data sources with programming staff.

Authorize function users to grant access
LIMT discussed the transfer of responsibility for Banner security from the DBA in Computer Services to the functional areas of responsibility.  Linda will schedule a meeting of the data custodians, Stephen, Jan and the project manager to begin this discussion.

Module Updates as Needed 

  • Finance: Focus is on year-end close.  The SCT Finance consultant will be on-site this week. The team has a plan to snapshot FY03 at midnight tonight.
  • Financial Aid: First summer checks are scheduled this week.  The team successfully used Banner functionality to re-package almost 900 summer students last week.  The process development, testing and live run were completed in 2.5 days, comparing to 3 – 4 weeks for 10 staff to complete this process manually in COCO.
  • The first run of S25 for fall term successfully placed every class for fall term.  However, room features (or attributes) did not work. The SPIT has corrected the problem and plans a second run, with output going to departments on Wednesday this week. After Wednesday, departments will work directly with Beverly on changes in course locations.
  • Student: Staff around campus continue to rely on COCO for data and information. LIMT recommends disabling the Students First program. The team is working on getting a fall schedule displayed from the Lane homepage by July 8, and an ExpressLane fall schedule available by July 14 in order to support Advance Registration for fall term.  The biggest challenge of the Student “go live” has been AR issues.  The ExpressLane, Banner and Touchnet tools work perfectly, but staff have made some errors in using the tools that have required corrections.  The number of cashiers that the Enrollment Services Operations team is supporting may need to be reduced.
