LIMT Meeting Minutes

Monday, June 24, 2002

Open Lab
Lloyd Rain is holding open lab this week from 1:00 – 5:00p, in Building 12, Room 119A so Administrative Assistants can enter purchase orders.  Orgs are established--any changes will be made in Banner with an effective date in order to leave a audit trail.  No budget will be listed the first few weeks of July so NSF checking will be turned off to allow staff to make purchases.  A CoCo report showing budgets in CoCo accounts will be available to departments.  The Finance team recommends that crosswalks be reviewed line by line and to contact Kay Malmberg if there is any confusion.  A sample PO has been printed using E-visions, and the first official Banner check will be issued July 20.  

Banner Training for Managers
With the Finance “go live” date of July 1, a concern was voiced that only 20 managers took Banner training in June.  Managers need to know how to approve POs in July.  The Finance team will ask Lloyd to notify managers to get in the loop for future trainings.  The best way to handle approval proxies will be discussed with Dennis next week.  The team is tired, but upbeat and comfortable with the product and with going “live.”

SC meeting rescheduled to June 27 @ 1:30p
The June SC meeting was rescheduled to Thursday, June 27 at 1:30p because of a conflict with the ET meeting.

Finance “go live” party!
A pizza party is planned for Wednesday, July 3 from 11:15a – 1:30p, in ADM107 to acknowledge the hard work of the Finance Core Team during the Finance implementation process.  LIMT was encouraged to attend the party.

Database Environments
LCC now has a ‘Production’ database called LANE, a ‘test’ database called TEST, and a pre-production ‘staging area’ database called PPRD.  The purpose of three databases is to provide a place to work and experiment with data, an area to save the data once it is finalized and to group data to be moved into the LANE database.

Manager Finance Training
LIMT will develop a condensed one-hour Banner finance training class in July, August, and September to get managers up and running.  The training will provide an overview of the LASR project; how to log into eXpress Lane; how to do budget queries and How to approve documents.  A one-hour, optional, open lab will be offered following the training session for manager’s to practice.  James Brunner, Chuck Appleby and Stan Barker will coordinate the training schedule.  

Reporting Team
The Reporting Team will meet the second week of July to discuss a team charter and to identify the best approach to take to assess reporting tools.  The first meeting will include James Brunner, Linda DeWitt, Stephen Pruch, Sylvia Sandoz, Craig Taylor, Jennifer Knight, Laura Loftus and Jane Scheidecker.  A recommendation was made to include a representative from the finance area in the initial meeting.  The second phase will involve a larger group.  Meetings will convene with the larger group as needed following the July meeting.  The team’s goal is to identify a tool that will provide more timely and informative reports for the Board of Education and the administration.

Feedback re:  meeting with FMT
The FMT recommended that LIMT’s suggestion to provide four parking spaces to accommodate employees who come from off campus sites for LASR Project and other meetings become part of the LCC parking policy.  The issue was referred to Sandy Ing.  Jane Scheidecker will meet with Sandy to discuss the issue.

Student Consultant
Pat Croes, SCT consultant, will provide Student Core Team training for the remainder of the sessions.  The team will begin working on catalog implementation after the July 23 training session.

Financial Aid
The FA team is in training this week.
