LIMT Meeting Minutes

Monday, June 17, 2002

July and future staff training series
The July training series will be offered the weeks of July 8 and July 15.  A suggestion was received from an LCC employee that LIMT schedule additional staff trainings in September instead of August to accommodate people who are not available Summer term.  Purchase order approval training for managers needs to be scheduled in July and September.

July and August LASR Update schedule
Summer term LASR Updates are scheduled July 2 from 2:00 p.m. to 3:30 p.m. and August 6 from 2:00 p.m. to 4:00 p.m.

Board response to parking permit recommendation
The Parking Permit Task Force presented its report  to the Board of Education at the June 13 meeting.  The report recommends that a parking permit system not be implemented at this time.  Implementing Phase 2 of the proposal now would be a significant distraction for the LASR  project.  The Board will revisit the issue in September.

Information Confidentiality Statement Draft
At the recommendation of the Data Standards Team, an information confidentiality statement was drafted and distributed to LIMT for approval.  A suggestion was made to include in the statement a reference to COPPS so an employee can view their individual responsibility.  Because this process is not specific to the LASR Project, Linda Simmons will bring the process to the attention of ET.

Finance Update
Administrative Assistants are currently attending Banner Finance and Purchasing training.  Final budgets have not been determined so zero budgets will appear for the Finance “go live” date.  Adjustments will be made when the budget is finalized.  NSF checking will be temporarily turned off to allow users to make purchases.  Administrative Assistants will start building actual POs in the production database on June 24.  Stan will e-mail managers and administrative assistants with information about the zero budgets, and an announcement will be made at LASR Updates and Peer to Peer.  The Finance team is prepared and ready to “go live” on July 1.

HR Update--Feedback from staff meetings re:  semi-monthly pay w/a lag
HR has provided information to Lane staff  at several meetings during the past two weeks. They plan to lead a discussion at  Manager’s Forum and will meet with Peer to Peer.  HR staff are available to meet with individual departments if requested.  Memorandums of Agreement about the new pay system are being prepared for the classified union and HR will meet with faculty tomorrow to discuss the issue.  Overall, response to the change has been favorable.  HR will move forward as if the semi-monthly pay with a lag will be implemented.

The HR office will begin a reduced schedule today and continue through December.  Office hours are 10:00 a.m. to 5:00 p.m.  HR staff  will be working on Banner from 8:00 a.m. – 10:00 a.m.

Student Update--SCT consultant
SCT identified Pat Croes as the new consultant for the Student module.  Pat will be on board with the July 22 training.  Two schedule changes will be announced for January.

Helen Garrett and Craig Taylor will attend the Facilities Management Team meeting on June 20 to discuss Schedule 25.
The team is working on assignments from the first week of training, building tables, working with live student data and loading LCC data into test.  The hiring process may be moving toward completion for the Director of Financial Aid position.
A purchase order approval training will be developed for managers.  Jane Scheidecker, Chuck Appleby and Linda Simmons will work with the Finance Training Team  to identify additional finance course content intended specifically for managers.  The training  will be scheduled before September 15 and be offered at various LCC campuses.

Other--Internet Explorer
An issue arose at the FIT meeting this morning about eXpress Lane working well in Internet Explorer but functionality is limited in Netscape.  The problem could be with the version being used.

Data Standards Document
The final Data Standards Document, Version 1.0 has been sent to LIMT and will be placed on the LASR Web Page with a link to a Banner section in COPPS.  The document defines data integrity and access, standards for entering data and includes three appendices about address types, telephone types and data access processes.  Linda Simmons, Helen Garrett and Stan Barker will inform managers of the document at Manager’s Forum on June 21.  Stephen Pruch will add the topic to ET’s agenda.
