LIMT Meeting Minutes

Monday, June 9, 2003

Steering Committee Meeting
The Steering Committee met on  May 23 for the last meeting of the academic year.  The Committee was presented with a high-level look at the proposed work plan and budget for Phase II of the project.  LIMT discussed whether the Steering Committee has served its purpose.  Stephen Pruch will discuss the  future of the Steering Committee with ET.

Training Materials Placed on Bdoc Shared Drive
A project goal is to maintain current training materials for all modules in a central place, probably the Bdocs shared drive. Team leaders were asked to coordinate with trainers to get the information to Georgia Nissen before June 30.

Project Release Guides Available
Copies of release guides for all modules are being printed this week for programmers and functional offices.  Individual modules will decide who will review the releases.

LASR Project Budget Update
The $4.8 million non-recurring LASR Project budget was built in June, 2001 to carry the project through to December, 2004.  Halfway through the project, 66% of the budget has been spent with sufficient monies remaining to complete the project.  The LASR Phase II Expense Estimate lists examples of how the remaining funds may be used.  The intent of the RFP was to make strategic improvements for the technology infra-structure of the college.  Funds must be spent within the boundaries of the RFP.

Birth Date Field in Banner
Forty-nine thousand records with missing birth dates  were converted from COCO to Banner with a “flag” birth date of Nov 11, 1111.  Discussions are taking place about whether to leave a flag in the field or  leave the field blank.  The issue needs to be discussed at a future meeting when Student is in attendance.

ExpressLane Time Out
Computer Services developed a screen saver  that automatically closes browsers on public access computers if they are not used for a specific period of time. This allows the college to retain the ExpressLane timeout of 30 minutes to facilitate staff use.

Software Upgrades
Computer Services will prepare a job schedule  for LIMT to review.  PPRD was cloned last Saturday and the Student Core Team meets Wednesday to decide when to clone TEST.  Team leaders were notified that Oracle 9i is scheduled for installation in PPRD next weekend.

Financial Aid Award Letters
Financial Aid anticipates sending 2,200 award letters out this week.  The team is working to reconcile updating student data for Spring term and awarding students who applied late.    Discussion continues about whether LCC should be the lender of first resort.

Human Resources
The June payroll deadline is set for June 27 to allow HR to complete the July 10 payroll before the Oracle 9i upgrade on July 3.  Staff are asked to  report hours for June 30 in the July 1-15 payroll, payable on July 25.  Approvers will approve on June 30. 

The week of June 9 is included in June work study awards.  Students do not work the following week but  would normally work the week of June 23, the first week of summer term.   Pay for this week must be treated as  a 03-04 payment.  A question arose about whether students can work the first week of the term and pay be regarded as part of the 03-04 financial year.  Human Resources will follow up and discuss the issue with the Financial Aid team.

Human Resources needs access to more detailed reports than the standardized Banner reports provide.  A report section exists in Banner for each system that may address the needs of Human Resources.  LIMT suggested Human Resources schedule time with their consultant to discuss Banner reports.  Human Resources staff  have formed an Web Improvement team to research self service items on the Web and review COPPS, the Human Resources home page and ExpressLane on a regular basis.  Team members are Deb Watkins, Lida Herberger, and Sharon Daniel.
