LIMT Meeting Minutes

Monday, March 24, 2003

LASR Update Feedback
Attendance at the March 21 LASR Update was minimal.  The Student Core Team provided an update on mock registration, admitting students and staff training.  The Finance Team reported on the development of custom finance reports to help departments access financial information in a more useable format.   Financial Aid reported that processing 2003-2004 applications is moving forward smoothly.  LIMT discussed the benefit of the LASR Update meetings when attendance is so low.  A decision was made to offer the April and May Updates as scheduled and then move to an electronic communication process after all systems are ěliveî.

Action Web Contacts from Lane
LIMT was reminded that if teams need to contact the Action Web that the request be channeled through Jan Kleminsky in Computer Services or through the module's programmer.  Providing Action Web with an LCC contact allows LCC to follow up on issues.  This is not possible when an SCT employee initiates the contact.

Re-orientation to SCT Website Resources
LIMT will schedule a refresher training for team leaders, programmers and functional technical staff on using the SCT Web site and Action Web.  Linda DeWitt will discuss the training with James Brunner on Thursday.  Team leaders were asked to identify the person responsible for making Action Web contacts and functional area staff who should attend the training session.  A recommendation was made to provide the training at  an April LIMT meeting.

Schedule 25 Implementation
Instructional chairs are  concerned about the use of the Schedule 25 tool to assign classroom spaces.  A preference was voiced at the Tuesday Department Chairs' meeting to continue with the current process where departments schedule their own classroom space.  The goal of the Series 25 group is to provide a Summer term schedule that departments can live with using Schedule 25 to assign classrooms and to continue developing Schedule 25 to reduce Division/Department workloads.  LIMT was reminded that ET and the Office of Instructional Services directed LIMT to move forward with the Series 25 implementation.  Craig Taylor will pass the issue to ET with a recommendation for a resolution.

Financial Aid Update
The Financial Aid Office is working on 2003-2004 applications in Banner and continue to learn more about the system.  The team discovered that a Financial Aid address does not load  if a person is already in the system.   Since the college is not creating Banner records off of FAFSA applications, the Financial Aid address type will not be useful.  Financial Aid students were registered paid in the mock registration conducted by the Student Team.  

Instructional Managers
A handout clarifying Section Building Time Lines for Summer term class schedule was developed and sent to administrative assistants and managers and distributed to LIMT.  Chuck Appleby will provide updated information as it becomes available.  How Series 25 fits into the time line schedule will be discussed at the Tuesday Chairs' meeting tomorrow.

Financial Aid Update
Since Financial Aid has been live, lots of telephone calls have been received but no input has been noted of problems with the system.  Approximately 900 tracking letters were mailed and 3,800 Financial Aid applications have been received to date.  The Financial Aid Office anticipates a 25% increase in applications from last year.  The team is reconciling discrepancies and identifying packaging policies and sending out award letters.  Connie Alexander will be back the week of March 31 to provide follow-up support for staff.  Financial Aid and the Student Core Team will work together on a plan for the return of Title IV.  One-hour Financial Aid staff training sessions offered over the past two weeks to teach staff how to help students who use ExpressLane have been well attended.

Student Core Team Completes Successful Mock Registration
The team and SCT consultant conducted a successful mock registration of 165 ětestî students last week.  A problem occurred when trying to change the number of credits and the grade option in Ver. 5.5.  After contacting Action Web, the problem was corrected.  Administrative assistants and student service associates will participate in the April mock registration and the May registration will utilize the actual Summer schedule and include students.  Mock registrations for Fall term will be conducted during Summer term.

Finance Update
The Finance Team worked with administrative assistants, Linda Osak and Sue Iverson to develop departmental budget and payroll reports that are easy to access and that provide  information that departments need.  Training on how to access the reports was provided for Peer to Peer and one-on-one with staff.  Work continues on part-time OPE corrections.  The Budget Office is on schedule for completing budget corrections by April 1.  The Finance Implementation Team (FIT) reminded LIMT of the need to have an HR representative attend FIT meetings.  SCT consultant Dennis Wilson will be on campus July 1, 2, 3 to assist the team with year-end closing processes.  Finance has requested a consultant visit in April or May for general finance assistance and the budget development process.  Linda DeWitt will follow up with James Brunner.
