LIMT Meeting Minutes

Monday, February 24, 2003

Records Entered Into Lane Database
The Student  programmers converted general person and general student records and loaded them into the Lane database last weekend.  From this point forward, changes to CoCo student information will also need to be done in Banner.  Students admitted in CoCo for spring term will also need to be admitted in Banner.  The Student Core Team is working on a dual entry plan.

Payroll Technical Error
Payroll was stopped early last week due to a technical error.  Computer Services worked with Action Line and Eveline, the SCT remote database administrator, and the problem was solved Thursday evening.  When a problem of this magnitude is encountered, Eveline should be contacted asap. Remember that Jan Kleminsky is the person who contacts the SCT RDBA on behalf of the college. 

Successful Meeting With Faculty Council
LIMT representatives met with Faculty Council on February 14 to discuss the Series 25 implementation, changes to the administrative drop and refund period policies and Banner training for faculty.  LIMT will involve faculty in implementation decisions as appropriate.  The meeting went well. 

ExpressLane Signs for Campus
ExpressLane signs are completed and ready to be placed in campus areas that invite students to use  available computers to access ExpressLane.  One-hour training sessions are scheduled the week of March 3 and March 10 to prepare staff to assist students.  The Student Core Team feels signs are adequate to promote ExpressLane use and has decided not to purchase ExpressLane buttons.

LASR Update Demonstrates ExpressLane for Students
Approximately 20 people attended the February 21 LASR Update which included a demonstration of ExpressLane for Students. Financial Aid will clarify messages where possible about  holds, academic progress and disqualification terminology when these reflect financial aid only.  A suggestion was made to demo ExpressLane for the Board of Education in June.  The audience seemed pleased with ExpressLane's functionality. 

Text on Web Error Page
When logging into ExpressLane many users are getting a ìcannot display this page, refresh and try againî message.  LIMT is concerned this may cause undue confusion when students use the system for the first time next week.  Computer Services staff are working to identify the problem.  Linda DeWitt will work with Jan Kleminsky and Carolyn Cruz to develop a more helpful error message if the problem cannot be resolved by the time students have access to ExpressLane.

ExpressLane Computers in Public Areas
LIMT received requests for student computers from non-central areas of the college.  Computer Services technical staff suggested the project look at Mac computers that will allow internet access only and are more affordable than a full-blown computer.  LIMT discussed the advisability of placing computers in public places that would create a support burden for Computer Services.  Approximately 50 computer labs are available to students.  Kiosks should be replaced with adequate equipment.  Enrollment Services lobby computers will provide CoCo services and the ExpressLane lab will provide ExpressLane services for Financial Aid.

Human Resources Update
Participation in the web time entry process was good; only 17 salaried people did not enter time.  A suggestion was made that HR offer personalized departmental visits during leave approval dates to assist anyone having difficulties.  HR will track the process for a few pay periods to identify if visits are needed.  HR training for new employees needs to be addressed soon.  Currently, the training manual is on the Web for employee access.  A  problem occurred last week with payroll when the system would not bring over anyone else after a leave record was submitted with zeros entered for no leave taken.  The problem was resolved by Thursday evening.

Financial Aid Update
The team is in Banner overview and navigation training this week.  A checklist of manual processes that Banner will do for staff was developed.  Work continues to identify and provide to Computer Services which staff need which security classes.

Student Update
Computer Services moved 30,000 student records from  the current year and 300,000 students without active records into Lane over the weekend.  Staff are in Banner overview and navigation training this week.  Approximately ten training sessions are scheduled the weeks of March 3 and March 10 to prepare staff to do admissions in Banner.  The team met the deadline for security groups and will go into Lane with security classes intact and has developed proficiency tests for staff for Lane access.

Financial Reports for College Departments
FIT representatives met with Peer to Peer this morning to address issues about the availability of appropriate financial reports for departments.  Some departments are finding that the online reports are difficult to drill down to information and it is hard to tell which budget covers which FOAP.  FIT is working with Casey Adams, Linda Osak, and Sue Iverson on a report that will be available through ExpressLane and will address some of the departmental concerns.   The report will be similar to the 361 summary that CoCo provided.  Additional concerns are the inability to view payroll FOAP details.  The budget office worked with NHIDIST last week and was able to access all required detail.  An issue exists at the departmental level about the COA being able to pool at the accounting level but not at the org code level.  Meg Rowles is temporarily assigned to work half time with the budget office until April 10 to help with completing the current year budget work.  The budget office expects all issues will be remedied by April 10.  FIT will meet with Cyd Hawkins this week to resolve payroll and OPE rate issues between HR and Finance.

Series 25 Update
The team is working to load room characteristics in order to test against the Summer term course schedule.  Training will not be provided this week to orient schedule builders, but will be coordinated with and taught by the Student Core Team.  Resource 25, the event scheduling tool, will be up next week and available to schedule events that will occur after  July 1.

Information for LCC Board Report
Module reports for the Board report are due to Linda DeWitt by the end of business Thursday.  The report is due in the President's office by 5 p.m. on Friday.
