LIMT Meeting Minutes

Monday, January 6, 2003

Updates/Announcements
Dennis Carr, HR Executive Director, was introduced and welcomed to the team.
Team leaders were asked to provide Linda DeWitt with a January schedule for James.
LIMT questioned who placed an announcement regarding Banner calendaring that appeared in today’s Daily.  LCC’s Event Scheduling Calendar has been discontinued.  Resource 25 may not provide complete calendaring capability for the college, because it is intended to track the calendaring that relates to space scheduling. 

Data Security Policy
Stephen Pruch will draft a data security policy and distribute the draft to LIMT for feedback.  Any suggestions may be sent to Stephen.

Help Process for Human Resource “Go Live”
ExpressLane contains a message that refers users to the Help Desk if a PIN number is forgotten.  The message was initiated to assist people through the transition to ExpressLane.  Now that the majority of employees have been trained to use ExpressLane the message will be discontinued after the first payroll is complete.  Employees who forget their PIN will contact Human Resources and students will contact Students First.

Human Resources Message to Staff Regarding Web Changes
Human Resources will prepare an all-campus announcement to communicate information about workflow changes related to working in the live Human Resources database, staff training, and changes to direct deposit.

Human Resources Update
A technical “glitch” prevented moving HR data from PPRD to Lane.  HR is talking to the SCT expert in this area to identify the problem and hopes to complete the move by Wednesday.

Financial Aid Update
Version 5.7 was installed over the weekend.  This version allows Financial Aid to proceed with the set up of the 03-04 year in PPRD for cloning to TEST.  A joint meeting was held with the Student Team to identify clone date timelines.   The team continues to work on batch posting rules and refining satisfactory progress processes.  Bert Logan, the new Financial Aid Director, will be on board January 13. 

Student Update
The team is comfortable with their progress and pleased with the outcome of the joint meeting with Financial Aid.  Issues with data access for programmers and new employee access to HR were raised.  The Data Standards group will meet to discuss these issues.  Navigation and overview training for Students First staff is scheduled for January.  Financial Aid staff will train in February for the March 3 “go live”.  Student trainer, Elliott Hawkey, will attend the January 13 ET meeting to discuss differential tuition.  Questions for Elliott should be sent to her prior to the 13th.

Finance Update 
Finance will identify additional position budget training needs for James Brunner.  The team requested that a Human Resources representative attend Finance Team meetings.  Meetings are scheduled every Monday, 8-9:30a, in Bldg., 3, room 107.  Twenty-five checks were printed and sent to the bank; the process went smoothly.  Finance noted a possible misconception about the ability to access financial information through ExpressLane.   Additional staff training will be scheduled the last two weeks of January.  Currently, the team is implementing account indexes and working on  implementing a bad debt assessment in Banner and capturing phone and printing charges in  Banner.

Series 25 Update
Space characteristics are being moved into Resource 25.  SAG meets on Friday to discuss space preferences for classrooms (partitioning).  A timeframe for staff training on how to build the class schedule by March 24 is being discussed.  Summer term will be the first test of the Series 25 software.

BWEL Update
Helen Garrett reported the Student Team has held several successful meetings with BWEL staff on several topics, including transcripting data.  The team feels the transition to a one-registrar concept is going well.

Other
The Student Team will discuss a “turn off “date for Classline.  A suggestion was made that LIMT look at how the college views the electronic infrastructure.
