Project Definition
Lane Administrative
Systems Renewal
RFP
Phase
Issues
The following
issues have been identified by the project team as having a potential
impact upon the progress of the project. The team intends to remain
aware of these issues and will work to mitigate them.
- Potential
delays in project timeline
The
timeline for RFP Phase is aggressive. It is possible that we will
miss an important milestone. The principal risk to missing milestones
will be to affect or delay later phases of the project. A significant
delay could push the initial implementation from 2002 into 2003.
We may be
required to develop a separate RFP for hardware required to run
the selected software. There is a risk that this will introduce
a delay into our timeline.
The following
events could also delay the project:
- Slow
completion of the Request for Proposals
- Incomplete
vendor responses
- Difficulties
in evaluation and negotiation
- Protests
by vendors
This
is a very large project, a significant undertaking. It is possible
that we will experience 'missed opportunity' costs because we are
attempting to do so much. We may have to forgo some functionality
in order to complete the rest of the work successfully.
Any significant
reduction in college funding could affect this project. We believe
that funding either is already identified or can be arranged
through a lender.
The following
areas could impact the project:
- Rough
cost estimate proves inaccurate
- Unexpected
decrease in college revenue
- Inability
to obtain financing
- People,
Communication and Participation
Inadequate
buy-in from the campus for this process is a potential risk. We believe
that a significant portion of the campus community supports and encourages
this change. We will work to inform the campus of project goals so
that additional buy-in is achieved.
Potential
cumulative workload issues are also a possible risk. There are
other significant, large, time consuming projects ongoing at
Lane that require staff resources (e.g. the Bond Project, moving
to new facilities, restructuring, tech study negotiations, Vanguard
Project, accreditation, etc.)
The following
areas could impact the project:
- Inadequate
communication
- Staff may
feel disenfranchised because of lack of participation, specific
interests remain un-addressed, feelings that money could have been
better spent elsewhere, etc.
- Selection
of participants for RFP PhaseI.
- Difficulty
of faculty involvement over the summer.
-
Threat of change/resistance
to change.
