General Characteristics:
A Production Coordinator is responsible for pricing, billing and processing copy center, offset printing and graphic orders from College departments; assists Printing/Graphics customers in determining their needs and selecting paper, ink and printing processes appropriate for their project; calls service technicians for College convenience copiers located across campus and at outreach centers; may act for the Printing/ Graphics Manager in his/her absence within defined scope; does related work as required. Work requires problem-solving skills. Troubleshooting problems with copiers requires manual dexterity and good visual acuity. Physical strength and agility are required to reach, lift and move supplies and maintain copiers. Work requires good organizational and verbal skills to provide accurate information to individuals requesting printing/graphics services.
Examples of Work:
Accepts and processes incoming printing/graphics orders; assures completeness of order; prides work orders; determines how jobs are to be run and routes to appropriate production area; coordinates order due dates with Printing/Graphics staff.
Discusses customers needs and answers questions regarding costs and technical aspects of printing such as alternative copying methods, paper stock, bindery options and printing processes; gives cost estimates upon request.
Prepares and inputs customer billing including all billing for printing, graphics and copy machines.
Oversees the care of copy machines which entails maintenance, troubleshooting and programming identification numbers; orders all supplies for copiers; contacts service technicians for repair and maintenance; reports monthly use to maintenance vendor; monitors service agreements; operates data collection systems.
Orders supplies needed for production as well as supplies and parts needed to maintain production equipment; maintains departmental filing system; assists in preparing and updating standard pricing for printing and copy center services; oversees yearly inventory.
Knowledge, Skills and Abilities:
Knowledge of the methods used in estimating printing and copy center job costs and production timelines; knowledge of modern printing/graphics processes as required by the position; knowledge of office systems, procedures, purchasing, filing and scheduling; ability to troubleshoot copier problems; ability to deal with printing/graphics customers in a pleasant, tactful and courteous manner; ability to interpret and communicate department policy and procedures to College staff; ability to set up and maintain billing records; ability to maintain accurate records of printing jobs produced; ability to learn to operate folders, high speed copiers, laminating machines, cutters, drills, shrinkwrapping equipment and binders; good mechanical ability; ability to follow written and oral instructions carefully; ability to operate office equipment such as typewriter, calculator and copier; ability to manage multiple tasks, organize work and meet deadlines; ability to work accurately under pressure with frequent interruptions; ability to communicate effectively orally and in writing; ability to reach above the head, lift and move supplies; ability to work safely.
Supervision:
Reports to and works under the general supervision of the Printing/Graphics Manager. Work is performed independently after reaching the full performance level. Instructions may be received on unusual or difficult pricing or production scheduling matters, or in handling customer and production problems. Work is spot checked by the supervisor for accuracy.
This position may have responsibility to assign tasks, provide priorities, train and monitor the work of student assistants. This position may plan work, assign tasks, lead and schedule the work of Printing/ Graphics staff in the absence of the manager.
Minimum Qualifications
High school graduation or equivalent is required. Two years of related office experience is required. This experience should include responsibility for cost estimating, billing procedures, production scheduling and processing purchase orders and invoices.
Equivalent combination of training and experience will be considered qualifying.
