Instructional Scheduling

The instructional Scheduler oversees the assignment of main campus classroom spaces, maintains the R25 academic cabinet and coordinates class section data in R25 and Banner.

Frequently asked questions:

1.  What is the difference between scheduling a class section (instructional scheduling) and scheduling an event?

All class sections have a Course Registration Number (CRN)--a five digit code unique to each class section in a specific term and always beginning with that terms own unique number (summer term CRNs always begin with #1, fall #2, winter #3, and spring is #4). 

Class sections are created by the schedule roll from one term to the next years same term, e.g. fall term 2008 will roll to fall term 2009, or by a Division’s Administrative staff adding a new class section to the class schedule.  All class sections with a space assignment, or a space assignment request, begin in Banner, are exported from Banner, and then imported to R25 by the Academic Scheduler, where the space assignment is confirmed, denied, or possibly changed.

The following are class section identifiers:

a)  Any record built in SSASECT, in Banner

b)  It has a registration number, CRN

c)  It has subject code

d)  It has a course identification number

e)  It has a section number

Events are meetings or gatherings for which an event request is sent through “My Requests” on the Lane web page to the Event Scheduler.  The Event Scheduler will confirm, deny, or change a requested space and send confirmation with an event reference number, which always begins with the year the event is scheduled, a dash and letters, e.g. 2008-AAEDGR.

2.  What is the difference between a cross-list and link?

Cross-lists are created in Banner by a Division’s Scheduler. Cross-lists are created when classes are intentionally assigned the same classroom or lab because they are to be taught at the same time, in the same classroom/lab, and on the same day(s). 

Cross-lists must be set-up in the proof term when updating your Division’s class schedule to avoid a negative impact on registration.

A link is created by the Curriculum Coordinator when students are required to register for two or more specific class sections. These classes are not taught together and are not necessarily under the same Division.

3.  What should I do if I need to request a space that is restricted to S25 assignment only? (e.g. Building 19, classroom spaces are assigned by S25 or the Academic Scheduler, no requests are allowed)

If you need to request a Building 19 classroom - please follow these instructions:

1)  use the NSM code under Auto Scheduler in the meeting record
       DO NOT enter a building or room

2)  click on the blue and yellow button under Scheduler Preference

3)  once in the Meeting Time Preferences (Scheduler Preference) record:

a) under Partition Preferences click on the arrow below "code" 
b) find the Bldg. 19 building code (19B) and/or enter 19B
c) under Preference Number, enter 01 (if you have more than    one building preference, you must number each entry, e.g. 01, 02, 03)

4)  under Room Attribute Preferences

a) click on the arrow below "code"
b) find the room attribute(s) needed for the class section you're updating (e.g.  SMCL = smart classroom, 
LRNC = learning community classroom, etc.). 
c) be sure to number the attributes in the order of importance

5)  It is extremely important that you have the correct enrollment set for classes using preferences and attributes. The S25 tool must have the most accurate information possible in order to place class sections in appropriate classroom spaces.

4.  Do I need to send my department’s schedule changes to anyone and what does the Transactional Capture do? 

When the Transactional Capture is on:

1) it automatically "captures" schedule changes made in Banner
2) the Transactional Export is periodically run manually
3) that information is saved off - for the record
4) finally the import to R25 is run

Currently the capture/export/import is running effectively and efficiently. The Academic Scheduler will continue to use this process to transfer changes in class section data from Banner to R25 unless it becomes problematic. If that should happen you will be notified that schedule changes must be sent via e-mail again. For now it is not necessary to e-mail your class schedule changes to the Scheduling Office. 

This does not mean that Enrollment Services no longer expects the information to be sent, you will have to check with that office and/or others on the "Schedule Changes" distribution list about their needs.

5.  How many types of rooms does the college have for instructional purposes?

CLASSROOMS — these rooms are used for a variety of classes and do not typically have specialized equipment that may pose a hazard to students or staff not trained in its use, e.g. equipment found in an auto tech or chemistry lab.

All classrooms are designated as one of the following:

OPEN

PRE-ASSIGNED/NOT BLOCKED

PRE-ASSIGNED/BLOCKED

LABORATORY—is a room or building equipped for experimentation, research or testing and that equipment may pose a danger to students or staff not trained in its use. Laboratories are blocked spaces. 

LECTURE/LAB—is a dual-purpose room appropriate for both lecture and lab use and are generally blocked spaces.

6.  How are classrooms assigned?

The order in which instructional spaces are scheduled is as follows:

1)  credit class sections
2)  non-credit class sections
3)  events—a non-instructional meeting or gathering that is not CRN-based

Please note that Lane classes have priority in main campus classrooms. Events or meetings scheduled in classrooms are subject to bumping if a class needs to use the space. Notification will be sent to the requestor of the event should bumping occur.
