INDIVIDUAL PERSONAL AND PROFESSIONAL DEVELOPMENT
FUND II GUIDELINES: CONFERENCES & WORKSHOPS

Note: These funds are provided by the Classified Professional Development Team, and are not bargained funds. The CPDT and/or its subcommittee award the funds. Requests must show how the funds will benefit the applicant’s personal and professional goals. These funds are intended to benefit the employee’s personal and professional needs rather than the department’s operational needs. In other words, if the conference or workshop is necessary for the employee to do his/her job, it must be funded by the department.

WHO IS ELIGIBLE TO RECEIVE FUNDS?

Any Lane Community College Contracted Classified salaried employee (.500 to 1.0 FTE) who has completed initial trial service is eligible to receive funding.

WHAT CAN THESE FUNDS BE USED FOR?

All travel expenses related to the attendance costs associated with conferences and workshops. Expenditures are limited to the maximum grant allowed by CPDT, (up to $350.00 per employee.) Any of these categories when it is judged that the estimated expenditure is either unnecessary or excessive. IPPD II funds cannot be used to pay salary costs.

FUNDING AVAILABILITY

Available all four terms

If the demand for funding exceeds the available resources in any term to fund all the requests submitted, the CPDT and/or its subcommittee may choose to award partial funding to several applicants rather than fully fund a single applicant.

When all other factors are equal and a choice has to be made, the committee may give preference to:

*Those not previously receiving funding from IPPD I or II.
     *First come/first serve.
*Type of workshop, conference or request, non-credit courses.
Funding is granted for fall, winter, and spring terms of the academic year depending on the availability of funds.

HOW MUCH MONEY CAN ANY INDIVIDUAL EMPLOYEE RECEIVE?

Up to $350 per year per person can be granted to any one employee for activities that take place during the year (ending June 30th of the academic year). The CPDT and/or its subcommittee may grant less than this amount to an individual, depending on the availability of funds.

HOW DO I APPLY FOR THESE FUNDS?

ALL REQUESTS MUST BE MADE AT LEAST ONE MONTH PRIOR TO THE EVENT OR ACTIVITY TO ALLOW FOR PROCESSING PAYMENTS.

Obtain the CPDT Individual Personal and Professional Development fund II application at http://2011sitearchive.lanecc.edu/cpdt/ippd/documents/IPPD2_application.pdf

WHAT ARE THE REQUIREMENTS FOR APPROVAL OF FUNDING?

Return two copies of your completed application with all supporting documentation, including travel form with supervisor signature (if on a work day,) by last name to:

A-J: Tina Lymath, Student Life/Multicultural Center,building 1, room 201, ext. 5336.

K-R: Irene Willoughby, Continuing Education, Downtown Center, ext. 5909.

Supporting documentation includes:

*Brochures and/or printed material describing the content, location and costs of the activity
    *Travel Form
    *Registration form.
    *Any other pertinent information.

If the workshop falls on a weekday, you must obtain the signature of your supervisor on your travel form.

Employees are encouraged to seek training through Lane first. If the training is available at Lane but the applicant wishes to participate in the training elsewhere, the reason(s) should be clearly explained in the application.

Generally, the committee will fund no more than one employee from a department to attend a single activity. It is expected that employees will share their training experiences with others in the workplace when they return.

IF APPROVED FOR FUNDS, WHAT DO I DO NEXT?

Applicants will be notified via email of the amount approved and the original signed travel form will be returned to them. All college accounting procedures must be followed when processing the travel form. Funding recipients will also be asked to complete a written evaluation of the activity upon travel reconciliation. An evaluation form will be sent with the notification of funding approval. The evaluation form, completed travel reimbursement form, and receipts must be returned within two weeks of the ending date of the activity. Applicants will be responsible for their own travel reconciliations and should send a copy of the reconciled travel to CPDT for record keeping.

WHAT IF MY ACTUAL COSTS ARE GREATER THAN THE AMOUNT APPROVED?

If the expenses exceed the amount approved, the employee or is responsible for the difference.

WHAT IF I CANNOT ATTEND THE FUNDED CONFERENCE/WORKSHOP?

By signing the application, the applicant agrees in the event that funds have been paid by LCC, that you will be obligated to attend the workshop/conference described in the application. You will be held financially responsible for the repayment of funds if you do not attend the funded activity. Financial responsibility could include finding a substitute attendee (e.g. qualifying classified employee) or arranging for a refund from the workshop/ conference sponsoring organization. The CPDT will not be responsible for getting reimbursements.

*Weather permitting it is still the applicant’s responsibility for getting reimbursed.
