INDIVIDUAL PERSONAL AND PROFESSIONAL DEVELOPMENT CLASSES
FUND I GUIDELINES
These funds are provided by the Classified Professional Development Team (CPDT) and are
not bargained funds. The CPDT and/or its subcommittee award the funds. Requests must
show how the funds requested will take the applicant closer to their own personal and
professional goals.
PURPOSE OF IPPD I FUNDS
IPPD I funds are designed to assist eligible classified employees in their personal and
professional growth by providing financial assistance to pursue a degree/certificate or to
take courses at a higher education institution.
- Higher Education degree/certificate - Employees seeking a higher education
degree or certificate may request funding for tuition, fees, and/or books. If the
courses are taken at Lane, employees receive free tuition and therefore do not
qualify to request funds for tuition.
- Personal/Professional Development - Employees enrolling in courses at a higher
education institution may request funding for fees and/or books.
Lane employees cannot receive reimbursement for the transportation fee if the same course
is being offered as a transportation exempt class AND this course is the only reason the
employee is being charged the fee.
WHO IS ELIGIBLE TO RECEIVE FUNDS?
Any Lane Community College Contracted Classified salaried employee (.500 to 1.0 FTE) who
has completed initial trial service is eligible to receive funding.
WHAT TERMS ARE FUNDS AVAILABLE?
Funds may be awarded for fall, winter, and spring terms of the academic year. Funds are
not available summer term and will not be awarded for retroactive enrollment.
A term is defined as a period of enrollment (semester, quarter, clock hour, or non-standard
term). Regardless of your period of enrollment, your award cannot exceed the established
term limit or annual limit.
HOW MUCH MONEY CAN ANY INDIVIDUAL EMPLOYEE RECEIVE?
Awards cannot exceed $1500 per year and no more than $500 per term. Awards may be
less depending on availability and/or other factors. In addition, funds are limited
categorically as follows:
- Tuition – up to $500 per term
- Fees – up to $150 per term
- Recommended/Required books and supplies – up to $200 per term
The CPDT does not reimburse for tuition unless you are seeking a higher education degree
or certificate at another institution and have an approved Individual Educational Plan (IEP)
on file showing your course is required.
Your IPPD I Fund reimbursement cannot exceed the actual cost of tuition, fees and/or books
minus any grants and scholarships received for the term. If your actual costs exceed the
amount of you are awarded, you are responsible for paying the difference.
HOW DO I APPLY FOR THESE FUNDS?
The IPPD I Fund application is available as a fillable PDF online and must be printed. Your
application and supporting documentation must be submitted by the following deadline:
Fall ........................ September 19 by 5pm
Winter .................... December 15 by 5pm
Spring .................... March 19 by 5pm
You must submit 3 copies of the application along with 3 copies of your supporting
documentation to Kathy Alexander (IPPD I Chair) in Human Resources.
WHAT SUPPORTING DOCUMENTATION IS REQUIRED?
You must submit supporting documentation with your application. Incomplete applications
which do not include the required documents will result in a denial.
- Term Schedule showing you are registered
- Current Account Detail showing itemized charges with dates
- Individual Educational Plan (IEP) - First time applicants requesting Higher Ed funding
An IEP is an individual plan outlining the program you are pursuing, the requirements for
your program and your plans for completion.
AWARD DETERMINATION/COMMITTEE REVIEW GUIDELINES
If the demand for funding exceeds the available IPPD I Fund resources for the term, the
CPDT may choose to partially award more applicants, rather than fully fund a single
applicant.
When all other factors are equal and a choice has to be made, the committee may give
preference to those who:
1. Have not previously received funding during the current academic year
2. Are seeking a degree/certificate and are following their IEP
3. Seniority
IF APPROVED FOR FUNDS, WHAT DO I DO NEXT?
Applicants will be notified by email of the amount approved. Approximately, two weeks
before the end of Lane’s quarter the applicant will receive a letter with instructions for
reimbursement. SAVE ALL ORIGINAL RECEIPTS related to required or recommended books & supplies, tuition, and/or fees for submission on pre-approved areas.
CONDITIONS FOR REIMBURSEMENT
You must successfully complete your course. If you were approved to audit a course, you
must attend 70% of your course and obtain documentation from your instructor. If you did
not previously provide original receipts, you must do so before receiving reimbursement.
Your instructions for reimbursement will require you to provide:
- A grade report showing successful completion of your course
- An attendance verification slip, signed by your instructor (audited course)
- A current account detail showing the tuition you were charged and proof of payment
(if approved for tuition reimbursement)
- A current account detail showing the fees you were charged and proof of payment (if
approved for fee reimbursement)
- A course syllabus, course outline or note from instructor showing the books and/or
supplies were required/recommended AND your original receipts for those purchases
(if approved for books and supplies)
Note: If you are unable to complete the course, we request you notify Kathy Alexander
(IPPD I Chair) as soon as you know. This will allow us to reallocate funds to another
classified staff member.
COMPASSION CLAUSE
It is the intent of the CPDT to provide pre-approval and then payment after course
completion. The CPDT reserve the right to evaluate individual extenuating circumstances
and make early payment exceptions if the committee so chooses.
APPEALING A DECISION
Although the committee may consider written appeals when there has been a
misunderstanding about the information contained in the original application, the decisions
of the CPDT are final.
